Job DescriptionThe Office Coordinator serves as the primary administrative support for the CECS Dean’s Office, ensuring smooth daily operations and exceptional customer service. This position manages front-office functions, coordinates communications, and assists with scheduling, travel, and event logistics. The role requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced academic environment.
Responsibilities
Front Office & Customer Service
Serve as the first point of contact for the Dean’s Office: greet visitors, answer phones, and respond to email inquiries.
Manage CECS and CECS Graduate email accounts, ensuring timely and accurate responses.
Handle confidential and time-sensitive materials with discretion.
Administrative Coordination
Maintain calendars, schedule meetings, and prepare materials.
Record and distribute meeting minutes.
Coordinate and process travel arrangements, itineraries, and expense reports.
Prepare and process contracts in the ESM system.
Financial & Operational Support
Assist with purchasing, reimbursements, and invoice processing in DASH.
Maintain office supply inventory and manage event orders and catering.
Track and compile data; prepare reports as requested.
Scholarship & Event Support
Oversee CECS scholarship processes, including tracking applications and coordinating committee communications.
Assist with special events, banquets, and candidate visits, including logistics and setup.
Knowledge, Skills, and Abilities:
Strong computer skills (MS Office Suite and university systems).
Excellent customer service and communication skills.
Ability to organize, prioritize, and manage multiple tasks.
Problem-solving skills and attention to detail.
Ability to work effectively with various groups and maintain confidentiality.

Qualifications
Required:
High school diploma or GED.
Four (4) years of relevant experience.
Preferred:
Associate’s degree.
