What You Will Achieve
Your strong communication and collaboration skills will help administrative and operations run efficiently across the Oncology Research Unit Post-CAN Research group. You will perform administrative duties for executive management including providing senior level administrative support to the VP of Post-CAN Research and the Post-CAN Leadership Team. These include calendar management, meeting coordination and preparation, and travel planning; interfacing regularly with department members as well as colleagues from related functions and will be expected to interact appropriately with scientists, academic collaborators, vendors and all visitors. The role requires learning and execution of internal systems and procedures of Pfizer, ensuring 100% adherence to compliance regulations. The following are critical for success: proactive approach with exemplary time management, organization, and prioritization skills, strong computer and internet skills, flexibility, excellent interpersonal skills, fast learner, and ability to work well with all levels of internal management and staff. In addition you will partner with the other ORU administrative associate in providing support to Research colleagues at the Bothell site. You will also collaborate to support visiting leaders and colleagues from the other Research sites and NYHQ. You are also required to maintain seamless partnership with other administrative staff members with a professional and team-oriented approach while demonstrating sensitivity to confidential matters.
How You Will Achieve It
- Manage day-to-day operational and administrative duties to support the VP and Directors of Post-CAN Research
- Coordinate and proactively manage complex calendars and meeting schedules, using prioritization skills and a high level of interpersonal refinement
- Coordinate domestic and international travel, anticipating conflicts and using diplomacy to resolve problems
- Review and process expense reports and invoices
- Utilizing SharePoint, PT&E, Ariba, cross-site, ENGAGE, GDMS, and onboarding colleagues and contractors
- Gain a thorough understanding of all corporate goals, policies, personnel, processes and procedures and incorporate in Post-CAN Research business and administrative processes
- Proactively identify or anticipate issues and use judgment to expeditiously resolve all issues including the most urgent
- Handle all duties with a high degree of integrity, professionalism and confidentiality
- Work with administrative staff across lines and sites, and collaborate and manage relationships at all levels
- Partner to provide support as needed to all Research colleagues at the Bothell site, as well as visiting colleagues from other Research sites and NYHQ.
- Support other administrative staff in the fulfillment of the job duties when needed
Basic Qualifications
- Minimum of a high school diploma and 8-10 years' administrative experience
- Proficiency in Microsoft Office Suite, especially PowerPoint, Excel, Word, and other features
- Proficiency in Microsoft 365 collaboration tools, including Teams messaging, meetings and channels
- Demonstrated administrative experience with an ability to carry out all office functions proficiently
- Ability to work with and have a high level of sensitivity to confidential documents and information
- Excellent communication (verbal and written), interpersonal skills at a global, cross-line level
- Superior attention to detail
- Fast learner, able to set and juggle priorities by handling multiple tasks simultaneously
- Strong sense of urgency and efficiency in completing work
- Exemplary time management, organization, and prioritization skills
- Must be able to maintain composure under pressure and manage unforeseen situations
- Excellent judgment, problem resolution and decision-making skills
- Work autonomously and thrive in a fast-paced environment
Preferred Qualifications
- College degree preferred
- Knowledge of Pfizer systems (SharePoint, PT&E, Ariba, cross-site, ENGAGE, GDMS) and procedures
- Experience within the pharmaceutical research and development industry highly preferred
- C-level executive support experience
Physical/Mental Requirements
- Ability to work on a computer and sit for long periods of time
