The diversity of workload for this position requires attention to detail, efficiency, flexibility, and the ability to prioritize tasks and meet deadlines for a wide variety of assignments. This staff member will perform a variety of professional, administrative, and financial duties and analysis functions in support of the day-to-day operations. Assists in resolving problems that have a significant impact on the overall goals for the City of Hope (COH) and Strategy Vertical.

Key Responsibilities include:

  • Uses discretionary initiative and judgement in handling sensitive & confidential details, establishing priorities and resolving problems relating to day-to-day operations & administrative details
  • Resolves routine and complex inquiries and problems requiring in-depth knowledge of company policies, procedures & projects in progress and apply a strategic lens associated with budget and fiscal operations.
  • Conduct a variety of duties including administration, project management, operations and budget-related analysis using computer systems controlled by COH information systems department.
  • Work with staff members across the Strategy Vertical in resolving project -related issues; interpret policies, expense workflows, and procedures to various staff members.
    • Ensure Signature hierarchies are accurate for all department and operating units.
  • Assist with monitoring, documenting, and maintaining data for any changes or variances to budgets and other related reports; maintain financial reports as needed including management performance reports, and summaries.
  • Initiates issuance of project codes and signature hierarchy and maintain/validate listing. Works with Corporate Accounting and ERP team in fully setting up project codes and appropriate funding restrictions in for all requested items. Cross train, provide coaching and direction, and review work as requested.
  • Serve as the primary point of contact within the Strategy Vertical for budget-related requests and/or when needing information on funding and project status.
  • Responsible for tracking, coordinating, and reporting on FTE status, budget, and labor information while working with HR and Dept.
  • Perform administrative tasks including maintaining and updating departmental processes and procedures.
    • May be asked to compile statistical data or create charts and graphs from information; ability to work independently and produce accurate data, using dashboards developed in Excel, Tableau, and other available tools.
    • Use City of Hope’s database. PeopleSoft General Ledger system, Resource Management data mart, Microsoft Word, Microsoft Excel and PowerPoint to prepare reports and presentations.
    • Collaborate with the finance and resource management team in the preparation of both narrative and financial reports in relationship to financial and performance reporting.
    • Works with multiple staff across the department, coordinates special projects and initiatives related to the department. Researches topics, analyzes data, and creates PowerPoint and other graphic presentations, as needed.
  • Ability to maintain composure under pressure; ability to handle multiple interruptions; possess multitasking skills. Ability to complete projects timely and accurately is critical.
  • Comfortable in adapting to new systems and current trends. Able to identify, investigate, analyze reporting and system requirements, potential enhancements or improvements and any discrepancy among processes that should be tracked and monitored. Research current trends and implement measures and procedures that can help improve process flows for colleagues and others in the daily routine.

Basic education, experience and skills required for consideration:

  • Bachelor’s Degree. Experience may substitute
  • 5+years related experience in business or administrative analysis in applying generally accepted accounting principles, personnel practices, and/or operational support.
  • Practices a high level of integrity and honesty in maintaining confidentiality.

Pay Rate: $33.63 - $52.13 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
