Job Description

The Atmospheric Radiation Measurement user facility (ARM; https://www.arm.gov) operates a network of six atmospheric observatories with over 450 instruments deployed, some dating back to 1993.  These observatories are a mix of fixed locations such as the Southern Great Plains (SGP) observatory in Northern Oklahoma and mobile facilities such as the third ARM Mobile Facility (AMF) which will be deploying to Northern Alabama later in 2023.  ARM’s core mission is to provide the research community data that can be utilized to help improve climate and earth system models.

Argonne is seeking a Project Coordinator to help support in the areas of procurement, scheduling, and budget related to the AMF3 and SGP observatories. 

In this role you can expect to:

  • Provide support to the Project Managers, sponsor, contractors, and outside scientific participants involved in the project as needed.
  • Prepare, process, and monitor subcontracts and procurements in support of the project to assure project needs and schedules are met.
  • Coordinate project related activities within Argonne.
  • With guidance, determine appropriate Laboratory, or vendor contracts based upon project requirements; assures that required data, materials, supplies and/or services are obtained to meet project requirements and schedules.
  • Partner with procurement and accounting to resolve problems associated with contracts and invoices; maintain close contact with procurement and accounting from contract inception; remains cognizant of all contract activities to assure proper changes to the project budget. 
  • Monitor the financial needs of the project expenditures ensuring costs remain consistent with the approved budget; prepare summaries of project activities and schedules for managers and scientist at ANL and at other Laboratories; develop and prepare detailed spreadsheets of project expenses, estimates and activities; maintain all project related information in an auditable format and for distribution to program management and sponsor. 
  • Work closely with supervisor to analyze Argonne produced cost reports and initiate controls to ensure against cost overruns; monitors Argonne produced cost reports to verify accuracy of charges against project budget; maintain detailed programmatic spreadsheets to track actual and projects costs on daily basis. 
  • Support Argonne programmatic staff in other areas, as needed. 

This position will require an on-site presence at the Argonne campus in Lemont, Illinois up to five days per week. 

Position Requirements

Required experience:

  • PA1: Bachelor’s degree and 0+ years of experience, or equivalent
  • Effective interpersonal and communication skills and the ability to establish and maintain effective working relationships with a diverse group of personnel
  • Skill in creation and manipulation of spreadsheets and financial databases
  • Strong organizational skills
  • Experience with computer applications such as MS Office Suite
  • Ability to model Argonne’s core values impact, safety, respect, integrity, and teamwork

Preferred experience:

  • Knowledge of ANL procurement procedures and methods of requesting goods and services
  • Knowledge of ANL organizational structure, policies, and procedures
  • Knowledge of ANL policies and practices for health and safety
  • Knowledge of ANL budgeting, accounting system, and contract requirements
  • Knowledge of project management principles and practices
  • Knowledge of scientific or engineering disciplines
