Position Summary

The Manager for the Program Management team will support the development and implementation of the key strategic initiatives flowing through Enterprise Support Operations and Planning (ESOP). This position will:

Provides required analysis for ESOP led initiatives.

Required to identify benchmark data and position that data in a meaningful way that supports the initiative they’re aligned to. Data presentation should be relevant for specific target audience (e.g., SLT level will be different than ELT)

Provides support for metric and milestone identification and reporting – may include support in creating the executive updates.

Manages staff supporting ESOP program management department. Responsibilities include but are not limited to hiring, timekeeping, annual performance appraisals, coaching/corrective action, and approval of requested time off.

Support development and maintenance of program schedules, defining and developing key project plan tasks and milestones, and tracking as well as execution against those activities.

Provide administrative tasks such as scheduling and facilitating meetings with numerous participants, prepare meetings materials, and record actions and changes to project plans, and tracking and responding to action items.

Assist in preparation of project plans under direction of director and/or other division leader(s); contribute to numerous project teams; help define project objectives and activities.

Assist in supporting the development, coordination, and implementation of strategies, and facilitate cross-functional collaboration to structure and execute key strategic initiatives.

Support the preparation and development of presentation materials, ensure project documents are complete, current, and stored appropriately.

Communicate project status through status reporting and dashboards.

Participate and support to meet specified project dates deadlines and requirements.

Key Responsibilities include:

  • Leads all project management aspects of assigned initiatives.
  • Acts as a liaison with end users to determine scope of project requirements, available budget, and required project timeframe.
  • Develops draft project scope, schedule, and budgetary estimate. Presents to end user and other responsible parties for approval.
  • Administrates pre-project activities, project implementation, performance, and reporting, including adherence to project scope, financial targets, adherence to schedule and post-implementation review
  • Manages administrative staff supporting program management department. Responsibilities include but are not limited to hiring, timekeeping, annual performance appraisals, coaching and corrective action and approval of requested time off. Performs quality assurance inspections to ensure project specifications are met.
  • Monitors activity schedules, changes to schedules, their causes and budget impact. Communicates project status and facilitates communication between all parties involved on project.
  • Defines and implements appropriate controls to ensure all benefits of projects are realized, as well as post-implementation monitoring of relevant financial/performance metrics and service level agreements.
  • Provide internal consulting services to ESOP leaders regarding business cases for projects, resource planning, contracting and financial analytics.
  • Collaborates with ESOP leaders in short and long-term planning for the division.
  • Identify and lead performance improvement activities under direction of the leader.
  • Serves as point individual on all administrative matters and other resource needs between key stakeholders to executive on strategic initiatives and/or develop strategic programs.
  • Develops, gathers, analyzes, and reports on key metrics in partnership with clinical, operational, and strategic leadership team.
  • Organizes and leads meetings to ensure alignment among key stakeholders, develop work plans, execute on work plans, and achieve goals and objectives set by leadership.
  • Informs, communicates, and reports strategic initiative and/or program status on a regular basis to key institutional stakeholders.
  • Maintains professional growth and development through seminars, workshops, and professional affiliations to maintain certification/licensure, and/or keep abreast of latest trends in field of expertise.

Basic education, experience and skills required for consideration:

  • Bachelor’s Degree in Health Administration, Public Health, or Business Administration.
  • Experience may substitute for minimum education requirement or field of study.
  • Three (3) years of related experience working in hospital operations plus one to two (1-2) years of experience in a lead/supervisory capacity. Strong communication and interpersonal skills. Ability to work independently.
  • Project management, required.
  • Excellent human related skills required.

Preferred education experience and skills:

  • Master’s Degree preferred.

Salary / Pay Rate Information:
Pay Rate: $47.46 - $79.26 / hour

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
