Job Summary/Basic Function
The Chief Technology Officer at Millersville University is accepting applications for a Executive Assistant. The person selected for this position will assist the with tasks including administrative support, divisional and university technology procurement, asset management, budget coordination, contract coordination, project tracking, business analysis, training coordination, and digital administration.

Annual salary range: $43,800.00 – $58,400.00, plus comprehensive benefits starting on the first day of employment, including:

Health insurance – Low bi-weekly premium.
Dental insurance – Coverage is free to employee and dependents.
Vision insurance – Coverage is free to employee and dependents.
Group life insurance – equal to annual salary (up to $50,000) at no cost to the employee.
Voluntary Group Life and Accident Insurance – available for purchase at low rates for additional employee coverage as well as coverage for spouse and children
Long Term Disability Insurance – available for purchase at low rates with either a 90 or 180-day waiting period
Retirement – 2 plans to choose from.
Tuition waiver – employee, spouse, and dependents are eligible.
Personal leave – up to 6 days per year.
Vacation leave– up to 10.4 days accrued per year for first year, increases to 15.6 days per year after 1 year.
Sick leave – up to 15.6 days accrued per year, including up to 5 days per year that can be taken to care for a family member.

Required Qualifications
Bachelor’s degree in IT/IS, Business, Accounting, or Management major.
5+ years of experience as an administrative assistant at an executive level, preferably in a technology intensive business setting.
Experience in budget preparation and management.
Excellent oral, written, interpersonal communication skills.
People-oriented and highly affable team player.
Strong knowledge of current IT trends in hardware, software, and services.
Highly skilled in the use of Microsoft Office 365, with a strong emphasis on Microsoft Word, PowerPoint, Excel, Outlook, and Teams.
Independent judgement, personal responsibility, and anticipatory thinking.
Comfort with dynamic, fast-paced work environments; a sense of urgency and attention to deadlines and details.
Strong sense of diplomacy, responsibility, and tact.
A high degree of integrity, adherence to confidentiality and have a high commitment to the University.
Flexibility, willingness, and ability to pursue and adopt new ideas, information and technology, and process and summarize information.

Job Description
Help manage scheduling, communication, travel, and other administrative tasks for the CTO and direct reports (4).
Act as the direct point of contact for the CTO and direct reports for the internal and external community
Attend and participate in meetings and vendor demos for the CTO as requested.
Assist CTO with internal and external project management and coordination efforts including timelines, communication, progress, and deliverables.
Liaise with business and academic units to understand and communicate their specific IT needs to the CTO.
Coordinate, schedule, and (if applicable) deliver implementation, recurring, and on-demand training for new and existing campus technologies.
Liaise with external corporate and community partners to assist in programmatic launch and administration.
Liaise with Purchasing office for all university-wide hardware, software, and other IT related purchases and internal Division of IT purchases
Maintain a working relationship with vendors to provide quotes for IT products and services to internal customers.
Coordinate requisitioning of university-wide and divisional IT-related software subscription and license orders which may include software as service agreements (SAS) for new and annual renewals. Develop a master listing and coordinate to ensure timely renewals and invoice processing.
Responsible for the organization and preparation of materials for the Council of Trustees, the Board of Governors, and other governmental and University entities. Prepare for the Council of Trustees Resources Committee.
Format, if necessary, coordinate and revise changes to Millersville University policies for the IT division. Coordinate all MU policies once approved by Cabinet, to be posted to the University’s Governance and Policy’s website.
Handle customer service complaints. Review complaints, distribute to the appropriate department, and follow-up with a response to the customer and/or the President’s office.
Responsible for submitting all IT topics with appropriate backup material to the President’s office for the weekly Cabinet agenda discussions and/or approval.
Provide direction and guidance to the IT directors as to their responsibilities of specific assignments.
Research matters, procedures and processes as requested by the CTO. Apprise the CTO of matters that may be of significance.
Coordination and timely submission of internal and external reports.
Review guidelines for various reports and processes and develop revisions/updates as required.
Ensure integrity of confidential matters related to the CTO’s office.
Participate in campus events and meetings as member of CTO’s office.
Prepare, manage, and monitor the Division budget to include the CTO’s budget.
Ensure fiscal responsibility by actively monitoring and managing the budget; keeping the CTO informed of budget status and working with the budget office, directors, and administrative staff. Work with the CTO to determine best sources of funding for various projects.
Initiate and prepare annual division budget resource request process.
Prepare the budget guidelines for directors in preparation of their budgets.
Prepare the annual resource request for submission and approval by Cabinet.
Develops reports for the Strategic Plan to show goals, measures, outcomes, and results.
All other duties as assigned.
Essential Functions
